Terms of Service
Effective November 4, 2026
The short version
- Kepvana helps you see what your work really earns after its costs. Its figures are calculations from what you enter, not tax or accounting advice.
- Your records belong to you. You check anything Kepvana fills in for you before it counts.
- Kepvana Pro, when it’s offered, is an optional subscription, bought and cancelled in the App Store or Google Play.
- You can stop using Kepvana and delete your account at any time.
1. These terms
These terms are an agreement between you and the makers of Kepvana (“we”, “us”) for using the Kepvana app and kepvana.com (together, “Kepvana”). By creating an account or using Kepvana, you agree to them. Our Privacy Policy explains how we handle personal information.
2. What Kepvana does
Kepvana is a tool for people who work for themselves. It records your expenses and jobs and works out figures such as what is left after costs, what each job earned for your time, and the sales tax you may be able to claim back.
- Calculations, not advice. Kepvana’s figures come from what you enter and the rules it applies. Some are estimates and are labelled that way. Kepvana isn’t financial, tax, accounting or legal advice. You’re responsible for your business’s records, taxes and filings; when in doubt, ask an accountant.
- You check what’s filled in for you. When Kepvana reads a receipt or statement for you (only if you allow it), or brings in charges from a statement file, it can make mistakes. Nothing counts until you’ve checked it and saved or added it.
- Optional connections. If you switch on the GroomWorth connection, Kepvana reads your finished grooms and never changes them.
3. Your account
- You must be an adult who can enter a binding agreement, and you must use Kepvana for a business you run or work in.
- Give accurate sign-up information and keep your password private. You’re responsible for what happens in your account.
- Tell us at support@kepvana.com if you think someone else has got into your account.
4. Your records
What you put into Kepvana, such as your business details, expenses, receipts, jobs and statements, remains yours. You give us permission to store and process it only to provide Kepvana to you.
If you record information about your clients, such as a client label on a job, you’re the business collecting it. You’re responsible for having their permission and for following the privacy laws that apply to you: in Canada, including PIPEDA and, in Québec, Law 25. We handle that information only on your behalf, as our Privacy Policy describes.
5. Acceptable use
Please don’t:
- use Kepvana for anything unlawful, or to store information you have no right to keep;
- try to reach another business’s records, or to break, overload or get around Kepvana’s security, limits or the reading with AI;
- copy, resell or reverse-engineer Kepvana, except where the law allows it.
6. Price and Kepvana Pro
- Kepvana Free costs nothing.
- Kepvana Pro, when it’s offered, will be an optional subscription. Its features and prices will be shown in the app and on this site before you can buy it, and the price shown in the store when you subscribe is the one that applies.
- Buying, renewing and cancelling: Pro is bought through the App Store or Google Play and charged to your Apple Account or Google Play account; their terms also apply, and they handle billing and refunds. A subscription renews automatically unless you cancel at least 24 hours before the current period ends, in your store’s subscription settings. Cancelling stops the next renewal; you keep Pro until the end of the period you’ve paid for.
- Deleting your Kepvana account doesn’t cancel a store subscription, so cancel it in the store too.
- Ending Pro never deletes your records. You can always see and export everything in your account.
- Price changes: if Pro’s price changes, we’ll tell you before the new price applies to you, and the store may ask you to agree to it.
7. Changes and availability
We’re improving Kepvana all the time, so features may change. We work to keep it reliable, but we can’t promise it will always be available or free of errors. Kepvana is provided “as is” to the extent the law allows. Keep your own copy of anything you can’t afford to lose: the year-end summary and spreadsheets make that easy.
8. Our responsibility to you
To the extent the law allows, we aren’t liable for indirect or consequential losses, such as lost profits, lost business, or tax penalties or interest arising from records you didn’t check, and our total liability to you for any claim is limited to the greater of the amount you paid us in the 12 months before the claim and CA$100. Nothing in these terms limits rights you have under consumer protection law that can’t be limited.
9. Ending
You can stop using Kepvana and delete your account at any time. We may suspend or close an account that breaks these terms or puts other users or Kepvana at risk and, where we reasonably can, we’ll tell you first.
10. Changes to these terms
If we change these terms, we’ll post the new version here and update the date at the top. If a change is significant, we’ll tell you in the app or by email before it takes effect. Continuing to use Kepvana after that means you accept the new terms.
11. Governing law
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. Any dispute will be handled by the courts of Ontario, unless the law where you live gives you the right to bring it there.
